Graduate Transcript & Program of Study

Online Graduate Transcript 
Only shows the coursework that the graduate student has taken as a graduate student.  Any non-matriculated classes will not show on the graduate transcript. Non-matriculated, Undergraduate to Graduate Credits, or BS/MS program classes all have to be added to the program of study.  Transfer credits (listed on the program of study (PoS) just check the box to add hours to total units).  All of these petitions are due to the graduate students' first matriculated semester. 
 
On the Graduate Transcript only select the classes that are required for the degree.  If you use classes that can be used towards a different degree, they will not be able to use them towards another degree.  
 
Thesis classes with only a maximum of 10 credit hours can be listed on the program of study (only 6 required by Graduate School): or alternative classes like project/non-thesis or independent student.  You can select the catalog number at the top of the transcript to make sure you are only selecting 10 credit hours and can uncheck any extra thesis hours or alternatives.
 
There is a summary of dissertation classes listed on the program of study, so only list the dissertation if your department requires more than the 14 dissertations required by the Graduate School on the program of study. Or you can indicate the requirements for your degree on the program of study in the comments.
 
 
Program of study
Move the Transcript over to the program of study once the graduate student has taken all the classes required for the degree.  
  • Usually, a master's student will apply for graduation as a good indicator that they are complete.
  • Ph.D. transcripts can be moved over once they take their qualifying exam (3rd year) to advance on to the Ph.D., then they normally just take dissertation classes.  
  • Tuition Benefits require that the Supervisory Committee and the program of study be entered, you can do this and click on the CORRECT HISTORY button in the lower right-hand corner of the program of study page and unapproved and enter a date for all the faculty members so they don't receive an email to approve a program of study that is incomplete.  Once the graduate student has taken all the required coursework you can move the remaining classes from the graduate transcript to the program of study and it will send out emails for the faculty to review and approve.  The effective date at the top left-hand corner is the indicator of when the faculty will receive an email to review and approve the program of study, the following Monday from the effective date listed.
Make sure you select the DEGREE TYPE on the program of study, this was the requirement audit page for it to read correctly.
Click on the CORRECT HISTORY button in the lower right-hand corner of the program of study page to add comments, add classes, or corrections to the program of study.  (Add degree requirements if different from the Graduate School and what the system looks for 30 credit hours with a C- and a 3.0 total GPA.  Thesis students 6 thesis hours, and Ph.D. 14 dissertation hours).
