Mentor Committees & Supervisory Committees

To promote graduate student success the Graduate Records Office along with the University Technology Systems Team have created a box (see image below) on the Supervisory Committee (SVC), located on the left-hand side of the page towards to bottom, to check when you are entering a Mentor Committee (MC).

When graduate students are accepted into your program, please enter a Mentor Committee (MC) in their Online files and check the box and save, unless your department has SET or CORE committees that can be entered after admission.
  1. Once the Mentor Committee (MC) is entered it allows the graduate students to see and track their progress in their Online files in CIS:  Graduate Student Summary (GSS), see Graduate Student Summary Tutorial will show you what graduate students can see:  https://gradschool.utah.edu/navigating-grad-school/graduate-student-summary-tutorial.php 
  2. This will allow the graduate students to see who will be able to mentor them regarding their questions and concerns before they form a full Supervisory Committee:  Chair and majority Tenure-Line faculty in the graduate student's department:  Master's 3 members & Ph.D. 5 members with one required to be outside the department.  If outside the university, you will be required to upload a current CV and justification letter for the dean to review (remember to save this in a PDF form and just the last name of OM and last name_Jletter, the system limits the characters allowed.  You can doubt-check to make sure the dean can view it by doing so yourself.  Then send an email to gradrecords@gradschool.utah.edu with the graduate student's #ID number & last name in the subject line.
  3. An email is generated that introduces them to the Graduate School and the resources available to them early on in their career.
  4. The Mentor Committee only has to have two places entered the chair and the director of graduate students (DGS) or both places can be the DGS.
